For finance managers

Contract follow-up with numbers you can budget with

As a finance manager you see the invoices, but not always the agreements behind them. Licens gives you annual cost per agreement, price trends and what's renewing soon – before it hits the ledger.

The ledger shows what you paid – not what you've committed to

The accounts tell you what was invoiced last year. They don't tell you that an agreement renews for three more years in two months, that a vendor has announced a CPI adjustment, or that a dollar subscription has gone up because the krone weakened. That information is in the agreements, and the agreements are often with someone else.

Licens gives finance its own window into the agreements: what are we committed to, what does it cost per year, and when can we do something about it? That makes budgeting easier and lets you ask the right questions in good time.

What finance managers use most

  • Renewing in the next 90 days

The amount coming up, with a link to each agreement and the person responsible.

  • Year-over-year change

Change in NOK and per cent, by category, vendor and cost centre.

  • Reasons for price changes

Separate CPI adjustments, renegotiations, quantity changes and new agreements.

  • Currency to NOK

Converted using Norges Bank rates, with the rate and date stored for audit.

  • Export

CSV and Excel for budgets, forecasts and board reporting.

  • Activity log

Who changed a price or deadline, and what was it before? Everything is traceable.

A simple contract follow-up routine

  1. Weekly: read the digest

The e-mail with the next 90 days of deadlines takes two minutes and shows what needs a decision.

  2. Monthly: confirm prices

Follow up auto-renewed agreements with unconfirmed prices, so the figures stay accurate.

  3. Yearly: review the top 10

Use the list of biggest price increases as a starting point for renegotiation before the budget is set.

Questions from finance managers

Does Licens replace our accounting system?

No. Licens keeps track of agreements, deadlines and agreed prices. The accounting system keeps track of actual transactions. Together they give the full picture.

Can I allocate costs to cost centres?

Yes. Each agreement can have a cost centre, and the dashboard shows costs per cost centre over time.

How do we stop prices in Licens going out of date?

When an agreement auto-renews, the price is flagged as unconfirmed until someone enters the new price or confirms it's unchanged. The owner is reminded after 14 days.

Can other users see agreements without seeing amounts?

Yes. You control which roles can see prices and documents.

How are savings measured?

When an agreement is terminated, its annual cost counts as a saving. The dashboard shows the total of those savings.
