Renewal reminders that reach the right person in time
Licens works out the last day to give notice on every agreement and sends reminders by e-mail and SMS to the owner, deputy and admins. If nobody has decided as the deadline approaches, it escalates.
Notice deadlines are easy to get wrong and even easier to forget
A notice deadline is the expiry date minus the notice period – as long as you do the maths correctly. With three calendar months' notice and an expiry date of 31.12.2026, the last day is 30.09.2026. With an expiry date of 29.02.2028, leap years come into play. Licens does the calculation and spells it out, for example “31.12.2026 − 3 months = 30.09.2026”, so you can check it against the contract.
The second problem is that the reminder often lives in a single person's calendar. In Licens, the deadline belongs to the agreement, not to a person. Reminders go to the owner and the deputy, and admins are alerted if nobody has made a decision with less than seven days to go. That's what contract renewal tracking should look like.
How the reminders work
Default reminders 60, 30 and 7 days before
Plus one on the deadline itself. By default SMS is only sent 7 days before and on the day, so phones don't become a source of noise. Everything is adjustable.
Weekends and public holidays
If the deadline falls on a Saturday, Sunday or Norwegian public holiday, you get a warning. Add a buffer of N working days to get a recommended “send by” date.
Act straight from the e-mail
Buttons to open the agreement, mark it terminated, keep it or snooze. Links are signed and expire, and any change requires you to log in.
Weekly digest
Every week you get a list of all deadlines in the next 90 days, sorted by date.
Calendar feed
Each user gets a private iCal link to add to Outlook or Google Calendar.
Dry run for admins

What happens when an agreement auto-renews?
Many agreements renew themselves if nobody gives notice. Licens carries them forward so your overview never goes stale.
The period rolls forward
The day after expiry, the agreement moves to its next period and a new notice deadline is calculated automatically.
The price is flagged as unconfirmed
The last known price is copied over but marked unconfirmed until someone enters a new price or clicks “price unchanged”.
A nudge after 14 days
If the price is still unconfirmed after 14 days, the owner gets a reminder. That's how you catch index-linked adjustments and quiet price rises.
Once you've given notice
Record the date and who gave notice, and upload the letter or e-mail. The agreement shows as “terminated – awaiting confirmation” until you upload the vendor's confirmation. All deadline reminders stop immediately, and the saving appears in your statistics.
Reminders go out at 08:00 Norwegian time. SMS is never sent between 21:00 and 08:00. You can add extra e-mail addresses per agreement, such as a shared purchasing inbox.
Questions about notice deadlines and reminders
What's the difference between a notice period in days and in months?
With days, a fixed number of days is subtracted from the expiry date. With calendar months, you go back to the same date in an earlier month – and if that date doesn't exist (say the 31st in a 30-day month), the last day of the month is used. Licens supports both and shows the calculation.
My contract has a special rule for the deadline. Can I override it?
Yes. You can set the deadline manually. It's then used for reminders and sorting, and it's clearly marked as overridden. The contract's own terms always take precedence.
Who receives the reminders?
The agreement's owner and deputy, the organisation's admins and any extra e-mail addresses you add. With under seven days to go and no decision made, a separate escalation goes to the admins.
Are SMS reminders included?
SMS reminders are part of the paid plans. See the pricing page for what each plan includes.
What do the colours in the overview mean?
Agreements are sorted by next deadline. Red means fewer than 30 days left, yellow fewer than 90 days, and green means there's plenty of time.
